Weddings

The Ultra Signature. The complete planning and coordination package from the initial consultation to when your last guest leaves. We will work with you every step of the way to incorporate your ideas and style into a memorable wedding customized especially for you. [+/-]

 

Planning

  • Meetings with Client for unlimited consultations
  • Assistance with theme, color, style and design
  • Manage vendor information (contracts, duties, contact information)
  • Manage and update customized budget spreadsheet
  • Update and distribute client task schedule monthly
  • Create detailed Sequence of Events for ceremony and reception and distribute to Wedding Party and Vendors
  • Follow-up communication with Wedding Party
  • Meet with Client for any last minute details

Vendor Interaction

  • Site inspection with Caterer or Location Service Representative
  • Review confirmed vendor contracts
  • Confirm set-up times, breakdown, restrictions, etc.
  • Assist with selection (research and recommend) of vendors including: ceremony/reception locations, caterer, officiate, wedding cake, florist, DJ/musicians, invitations/stationary, hair and make-up artists, transportation, favors, attire and rentals
  • Schedule and attend all vendor meetings
  • Negotiate and finalize all vendor contracts
  • Schedule ceremony rehearsal and rehearsal Dinner
  • Follow-up communication with all Vendors

Coordination

  • Oversee wedding rehearsal with wedding party including: organizing bridal party, discuss meeting times for entire wedding party, collect ceremony and reception items
  • Oversee ceremony and reception the day of including: assist the Client, site set-up, vendor and timeline management, ushers and seating plan, distribute ring pillow/flower basket, processional line-up, flower and favor placement and distribution, grand entrance, toasts, first dance, coordinate special customs and traditional activities, cake-cutting preparation, gift transfer
  • Collect and distribute all transferable and personal items

Guest Assistance

  • Research flight/shuttle/hotel discount rates
  • Confirm hotel reservation room block and guest reservations
  • Reserve shuttle transportation from hotel to wedding locations
  • Coordinate in-room welcome gifts
The Classic Signature. The concise package for those who may have already planned most of the details, however, need some assistance tying it together and executing the final event. This package begins one to two months before the wedding date. [+/-]

  • Assistance with theme, color, style and design
  • Obtain vendor information (contracts, duties, contact information)
  • Create detailed Sequence of Events for ceremony and reception and distribute to Wedding Party and Vendors

  • Complete Wedding Party information
  • Follow-up Communication with Wedding Party

Vendor Interaction

  • Site inspection with Caterer or Location Service Representative
  • Basic follow-up introduction and coordination calls to vendors
  • Review confirmed vendor contracts: confirm set-up times, breakdown, restrictions, etc.
  • Consult with Wedding Officiate
  • Schedule ceremony rehearsal and rehearsal Dinner
  • Follow-up communication with all Vendors

Coordination

  • Oversee wedding rehearsal with wedding party (up to 90 minutes) including: organizing bridal party, discuss meeting times for entire wedding party, collect ceremony and reception items
  • Oversee ceremony and reception the day of (up to 10 hours) including: assist the Client, site set-up, vendor and timeline management, ushers and seating plan, distribute ring pillow/flower basket, processional line-up, flower and favor placement and distribution, grand entrance, toasts, first dance, coordinate special customs and traditional activities, cake-cutting preparation, gift transfer
